Decision/Consensus; Fence work remains in planning and may be changed based on board/homeowner input. New, replacement, or removed fences require ACC approval before work begins. Action Item; Obtain estimates and review fence-related guidance through the strategic planning process.
  • Common area records and maintenance: Board discussed common area designations, portal updates, landscaping by adjourning homeowners, and cleanup needs. Decision/Consensus; Common areas have been matched to tax IDs, numbered, photographed, and posted to the portal. Action Item; Continue addressing common area maintenance, access, and possible volunteer cleanup.
  • Trees and Crepe Myrtles: Board discussed dead or unwanted crepe myrtles and trees, including those creating potential liability concerns. Decision/consensus; Board agreed to move forward with cutting down identified dead/unwanted trees and crepe myrtles. Action Item; Secure contractor, assign project number, identify funding source, and publish details before work begins.
  • Entrance and Curb appeal improvements: Board discussed front entrance column caps, possible matching brick wall, lighting options, messaging sign, and speed limit signs. Action Item: Seek estimates/options and include appropriate items in the strategic plan.
  • Gutter cleaning and pressure washing: Board discussed completed/near-completed community gutter cleaning and pressure washing. Action Item: Confirm pricing and service expectations for next year.
  • Late payments: Board discussed accounts receivable aging and revenue impacts. Decision/Consensus; late-payment balances have significantly decreased. Action Item; Continue monitoring delinquency reports with AMP-HOA.
  • Covenant/CCR violations: Board discussed current violation status and monthly exterior assessments. Decision/Consensus; No active violations AMP-HOA.
  • By-laws and covenants: Board discussed possible revisions and whether changes should be addressed through the strategic planning process. Decision/consensus; Matter to be closed for now and revisited through the strategic plan as needed. Action Item; Conduct further review before proposing any changes.
  • Natural Gas Service: Board discussed Dominion gas-service availability and whether written confirmation can be obtained. Action Item; Request written response from Dominion before continuing or closing the initiative.
  • FEMA/Disaster Planning: Board discussed FEMA grant status, disaster response/recovery planning, access limitations, and emergency extraction options. Action Item; Develop a disaster response and recovery plan, continue to pursue grant, and continue evaluating emergency access/medivac options.
  • Landscape service frequency: Board discussed whether lawncare frequency or scope should be adjusted to control costs. Decision/consensus; Board did not support discontinuing backyard landscape service. Action Item; review service frequency and clarify expectations in lawn care scope of work.
  • Rental restrictions; Board discussed potential authority to restrict rentals and required CCR amendment process. Action Item; Conduct additional legal research before any proposal is considered.

Budget Status: GREEN

Tree removal: The Board approved the removal of two trees leaning over the fence in the common area next to unit 106. This is common area-1. Once contact is made with the neighbor we will proceed with having this done. This will be funded 7030-General Maintenance and Repair. The cost is $1,600.00 and there is $3,000.00 in this budget. We have a liability with these trees. This project does not require a special assessment, nor does it meet the threshold for capital improvement. This is a safety initiative.

Brick Wall: The Board approved removing one section of iron fence and bushes between the two columns on the entry side. A brick wall will be constructed matching the brick wall on the exit side. This will be funded 9000-Reserve.The cost is $3,000.00 and there is approximately $50,944.14 cash balance. The reserve is always a moving target. You will see me out cutting down the bushes preparing the site for the contractor. This project does not require a special assessment, nor does it meet the threshold for capital improvement. This is a curb appeal initiative.

Picnic: Don’t forget to RSVP to a Board member NLT May 18, 2026, if attending. Picnic is scheduled for June 13, 2026. This is a “have fun” initiative.

Speed Limit Signs: The Board approved to move forward with a request to the Engineering Department for two 20 MPH signs to be installed within the community. The paperwork was submitted May 7, 2026. The Engineering Department and the City Administrator must approve. There is no cost to the association. This is a safety initiative.

Termite Activity: Brunson treated the area between unit 147 and unit 151 and checked bait stations. Bait stations were empty. The storm drain located there was cleaned up and rebar installed at the openings to prevent a pet or a small child from accessing. I want to thank Karen Thompson for bringing this to our attention. This was done without any cost to the association. This is a safety initiative.

Sidewalk/Storm Drain: A work Order #10893 was submitted to the city for repair of the concrete around storm drain next to mailbox for unit 108.

Monthly CCR Compliance Inspections: I have coordinated with AMP-HOA to notify me or send out a blast email when inspection is scheduled. I don’t want any “we gotcha” issues and we want to be as transparent as possible. If you decide to clean up, fix, or hide something then we have accomplished what we want. Per the CCR the inspection may include a peak at your back yard. By purchasing property within a managed community, a homeowner agrees (implied consent) to abide by the bylaws, which typically include the right for them to conduct inspections of property exterior to ensure compliance with rules and regulations.

Quarterly Informal Meetings: The month prior to the quarterly Board meeting, I will schedule a date and time to have informal discussions with any homeowner(s). This informal meeting will be held at the common area between unit 217 and unit 219. Notification will be made via email and will be posted on the event calendar on the portal. We can discuss the things you like or don’t like. Weather permitted, the first one will be in June. Stay tuned!

Lot Specific Impacts: We are working on what zoning, HOA, utilities, easements, buffer, minimum setback lines, and Fence rules affect each individual lot. Once we are done, we will send this to each (just yours) homeowner. We are coordinating with and getting the answers from the Planning and Development Department. Yours to keep, throw away, or tell the teacher the dog ate it!
